Frequently asked questions

Short answers on how VesselCall works, who it e-mails and where the data comes from.

General

What is VesselCall?

VesselCall is B2B software for maritime service companies in Türkiye. Its Outreach product detects commercial vessels approaching the ports you choose and sends an introduction e-mail to the vessel's management company, in your name and in the recipient's language. The Data package records vessel port calls at Turkish ports and adds vessel search and port reports. See the full flow on our How it works page.

Which companies is VesselCall for?

It is built for companies that sell services to ships: ship chandlers, ship agents, technical service and spare-part firms, shipyards and repair yards, bunker and lubricant suppliers, and marine surveyors. What they share is the need to reach a vessel while it is still approaching the port. See examples for your sector on our industries page.

Which ports does VesselCall cover?

VesselCall works at ports and anchorages in Türkiye, including Ambarlı, İzmit Bay, Gemlik, Aliağa, İzmir, Mersin, İskenderun and Ceyhan. You pick ports by name from a list, and your plan sets how many you can watch at the same time. Port-by-port details are on our ports page.

How do I get a demo and open an account?

Request a demo through the form on our contact page. After the demo, the VesselCall team opens your account; self-service sign-up is not available yet.

Outreach

How does VesselCall detect approaching vessels?

For each port you set a radius, or range, in nautical miles (nm). VesselCall watches AIS (Automatic Identification System) position data and detects commercial vessels (cargo, tanker, passenger) that enter that range. Tugs, pilot boats, fishing boats, yachts and similar craft are filtered out by default.

Who receives the introduction e-mail?

The e-mail goes to the vessel's management company, not to the ship. VesselCall uses the IMO number to look up the company roles in international ship registers (Equasis) and picks the Ship manager / Commercial manager first, then the ISM manager, then the registered owner. Our article on ship manager vs. ISM manager vs. registered owner explains the roles.

How are recipient e-mail addresses found and verified?

Ship registers give the company's name and address but not its e-mail address. VesselCall finds the address on the company's official website and in search results with its own crawler, and falls back to AI-assisted research when that finds nothing. The domain is verified with an MX check and the result is stored in a company knowledge base, so the same company is never searched twice.

Which language are the e-mails sent in?

You write your template in Turkish, and VesselCall translates it into the recipient's language based on the company's country, with an optional English copy below. A Turkish back-translation of each version lets you check the meaning, and you can lock a translation you have corrected. A maritime glossary keeps terms consistent.

Whose name do the e-mails go out under, and where do replies go?

E-mails are sent from your own company domain, verified with DKIM, and replies land directly in your inbox. VesselCall's brand does not appear in the e-mail. Sending runs on VesselCall's own infrastructure, so you do not configure a mail server; you only add a DKIM record to your domain's DNS.

Are e-mails sent without my approval?

That is your choice. In automatic mode, e-mails that pass the rules go out directly; in approval mode, you approve each e-mail; in test mode, e-mails go to your own test address instead of the real recipient. Approval mode is the most controlled way to try your template on real vessels.

Will the same vessel or company get repeated e-mails?

No. A vessel never gets a second e-mail within 7 days, even if it moves on to another port, and it receives at most 3 e-mails in 90 days. A recipient company gets at most 1 e-mail in 3 days, and your plan's monthly quota applies on top.

Data package

What does the Data package include?

The Data package records the port calls of IMO-numbered vessels at Turkish ports and anchorages: arrival, departure, length of stay, and whether the vessel was at anchor or at berth. Search by IMO, MMSI or name to see a vessel's particulars, manager and owner companies, class, P&I, PSC summary and Turkish port call history. Port and period reports show the split by category, flag and company. You can export lists and summaries to CSV or Excel.

Is historical data available?

Port call records build up from the day monitoring started; we do not offer an archive of earlier years. Your plan sets how far back into the recorded data you can look.

Compliance and security

What happens if a recipient does not want more e-mails?

Every e-mail has a one-click opt-out link. The opt-out takes effect immediately and that address never hears from you again, and addresses on the global blacklist receive nothing from any customer. Recipients can read more on our e-mail recipients page.

Do you send to countries that require prior consent?

Some countries, such as Germany and Greece, require prior consent for marketing e-mails even when the recipient is a company. VesselCall sends to recipients in those countries only when a valid consent record exists. Each country's sending policy is checked automatically before an e-mail is queued.

Do you screen against sanctions lists?

Yes. The vessel and the recipient company are checked against the US OFAC list, the UK sanctions list and the EU port access ban list. No e-mail goes to a listed vessel or company.

How do you protect data and handle KVKK?

Each customer's data is kept separate from other customers' data, and the platform is accessed over an encrypted HTTPS connection. Only template text goes to the translation model; recipient, vessel and company data never do. Our personal data notice explains which personal data we process under KVKK, Türkiye's personal data protection law (Law No. 6698), and why.

Plans and payment

How do the plans differ, and what do they cost?

The Bronze, Silver and Gold plans differ in the number of ports you can watch, the maximum range per port and the monthly e-mail quota, and Gold also includes Data features. The Data package is also available on its own. Pricing is shared on request; see our pricing page for details.

Is there a trial?

Yes, there is a 14-day trial plan. It lets you see the product on real vessels with a limited number of ports and e-mails. Trial accounts are also opened by the VesselCall team after a demo.

How can I pay?

You can pay by card through a PayTR payment link we send you, or by bank transfer. Card details are entered on PayTR's payment page and never reach VesselCall. Prices exclude VAT.
