What does Outreach do?

Outreach is an e-mail system that automates a service company's first contact with vessels heading to port. When a ship enters the range you set, it finds the ship manager from the IMO number, locates the company's business e-mail address, translates your Turkish introduction into the recipient's language and sends it on your behalf.

Ports and range
A radius per port Range is set in nautical miles (nm); up to 20-80 nm depending on your plan.
Vessel filter
Commercial vessels only Cargo, tanker and passenger ships. Tugs, pilot boats, fishing boats and pleasure craft are filtered out.
Recipient priority
Ship manager first Ship manager / commercial manager, then ISM manager, then registered owner.
Contact
Verified business address Official websites and public sources are checked, the address is MX-verified and stored in the knowledge base.
Language
The recipient's language Optional English copy. Turkish back-translation preview and locking of edited translations.
Sender
Your own domain DKIM-signed sending. Replies go straight to your inbox; the e-mail carries your brand, not ours.

    The vessel enters the range and is recorded with its position, speed, navigational status, destination and ETA.

    Vessel particulars and company roles are fetched by IMO number and the recipient role is chosen.

    The company's e-mail comes from the knowledge base, or is found and verified.

    Rules

    Repeat limits, opt-out list, country policy, sanctions and quota are checked.

    Translation

    The approved translation of your template in the target language is used and variables are filled in.

    Sending

    The e-mail leaves from your domain within rate limits and the result is logged.

  • At most 3 e-mails per vessel in 90 days
  • At most 1 e-mail per company in 3 days

Countries and sanctions

  • Prior-consent countries only with a consent record

Position

Vessels' AIS broadcasts: position, speed, navigational status and destination.

Vessel and roles

International ship registers: particulars, manager and owner companies.

E-mail

The company's official website and public pages; AI-assisted research when needed, verified on the source page.

Frequently asked questions

Which vessels does Outreach e-mail?

By default only commercial vessels: cargo, tanker and passenger ships. Tugs, pilot boats, fishing boats and pleasure craft may be detected but never trigger an e-mail.

Who is the sender and which address is used?

The e-mail is sent under your company name, from the domain you verified, with a DKIM signature. Replies go straight to your inbox; the e-mail carries your brand, not VesselCall's.

Will the same vessel get e-mails again and again?

No. A vessel receives no second e-mail within 7 days and at most 3 in 90 days. The same recipient company gets at most 1 e-mail in 3 days.

Can I check the translation?

Yes. You see a Turkish back-translation of every translation, can edit the text and lock your edited version. Locked translations are reused as they are.
